ACCOUNTS MANAGER

FULL-TIME | YEAR-ROUND

The Olympic Regional Development Authority is seeking a goal-oriented professional to fill an Accounts Manager position. The successful candidate will work with ORDA management, Sodexo Live!, Food & Beverage Managers and Retail Staff. As an integral member of ORDA’s Finance Department, the successful candidate will work in the ORDA’s administrative offices in beautiful Lake Placid, New York.

The Accounts Manager will be responsible for the creation of performance metrics, tracking sales and expenses, and forecasting analysis of operational reports and financial statements of the Food & Beverage operations at all the ORDA venues.  These responsibilities will require communication of event and operational forecasts with ORDA management and Sodexo Live! to allow for proactive decision making.

The Accounts Manager will also be responsible for working with ORDA management and staff of the ORDA Retail locations.  These responsibilities include creation of performance metrics, cost of goods sold calculations and gross profit calculations, as well as the creation of timely monthly Financial Statements and budgets/forecasts to insure a favorable bottom line.

In addition, the Accounts Manager will be utilizing and inputting data into existing software platforms and generating reports to distribute to core Food & Beverage, Retail and ORDA management teams.  The Accounts Manager is a key member of ORDA’s Finance Team and will be cross trained in other areas to support the entire team and perform other related duties as assigned.

MINIMUM QUALIFICATIONS:  Bachelor’s Degree in Accounting along with least three years’ experience working in accounting. An Associate Degree in Accounting along with 5 years’ progressively responsible experience in accounting may replace this requirement. Experience in Food and Beverage and Retail is essential.  Applicants should also have a strong knowledge of general ledger reporting and good communication skills. Familiarity with New York State Finance Law as well as Siriusware, Intacct, Microsoft suite programs or similar applications preferred.

EVENT FINANCE AND LOGISTICS COORDINATOR

FULL-TIME | YEAR-ROUND

The NYS Olympic Regional Development Authority (ORDA), the foremost Winter Olympic

legacy organization, is seeking a motivated member to join its Events Department. The Event Finance and Logistics Coordinator will be an integral member of the events team and will report directly to the Assistant Director of Events and manage a mix of department needs along with event logistics for a variety of winter sporting events for both United States National Governing Bodies and International Federations.

RESPONSIBILITIES:

  • Event Department Finances
    • Collect, organize, document and submit all purchase requisitions from the Events Department.
    • Collect and cross reference all invoices for accuracy to the requisition submitted.
    • Submit approved invoices for payment.
    • Submit check requests for officials’ fees and per diems.
    • Sending teams confirmation of team entry, OTC and entry fee invoices for review, accommodation information and event information.
  • Invitations and schedules
    • Creating invitations and schedules for each event.
    • Working with ORDA staff, the federation and governing body on the approval of these items.
    • Sending approved materials to teams and officials.
  • Event Information
    • Produce documents such as schedules, event stationary, meeting agenda, officials welcome letter and event maps.
    • Welcome packets that contain event information and accreditation for teams and officials and gifts.
  • Coordinate the management of registration, team leader meetings and draws
    • Managing the registration area where teams and officials check in.
    • Providing the appropriate forms and materials for team leader meetings and training and competition draws.
    • Disbursing bibs and the collection of bibs following the event.
  • Race Secretary and Protocol
    • Taking on the role of race secretary during an event and producing an electronic protocol booklet following the event, to include: training and race results and team captain meeting minutes. Work with event partners on the best & most efficient medium to distribute and post results.
  • Coordinate with Event Managers & Assistant Director of Events the submittal of rooming lists to area hotels.
  • Assist in other event functional areas as needed.

QUALIFICATIONS:  Candidates must have a four-year college degree. Minimum one year of relevant event management experience or related customer service industry experience required. Strong organizational and communication skills are also needed for success in this position.

SPORTS AMBASSADORS

The Olympic Regional Development Authority is seeking enthusiastic sports-minded people to act as Sport Ambassadors at its various Legacy sites in Lake Placid (Olympic Jumping Complex, Mt. Van Hoevenberg, and the Olympic Center).

RESPONSIBILITIES: Sports Ambassadors’ primary responsibilities revolve around interacting with guests and taking them on tours of the facility to which they are assigned.  They will educate visitors by talking about first-hand experiences, relaying historical facts and figures about sport and venue; and energizing people about the future of sport and ORDA.  These are part-time seasonal positions.  Weekend and holiday work may be required.

MINIMUM QUALIFICATIONS: Must have a strong knowledge of venue and sport history and the ability to provide a great customer experience. The ideal candidate will be an athlete who has competed on a national and/or international level and has used ORDA’s facilities as a training site during their career.

SEASONAL PHOTOGRAPHERS

The Olympic Regional Development Authority is in search for seasonal photographers for its Photo Concessions booth. Job duties will include capturing high quality and compelling photographs for various events. All equipment will be provided. Projected work schedule of 30-40 hours a week and will include weekends and holidays.

QUALIFICATIONS: The successful candidate must be dependable and be able to carefully select, set up, and operate manual cameras and equipment for varied conditions. Must have experience with action sport photography.

PHOTO CONCESSIONS SALES CLERKS

The Olympic Regional Development Authority is in search for seasonal salesclerks for its Photo Concessions booth. Job duties will include helping the customer locate/edit their photos and processing payments. Further responsibilities would be to print photos.  All equipment and training will be provided. Projected work schedule of 30-40 hours a week and will include weekends and holidays.

QUALIFICATIONS: The successful candidate must be dependable and have excellent customer service skills.  In addition, this person must be able to perform essential arithmetic functions (addition, subtraction, multiplication, and division) and have basic computer skills.

COMPENSATION: Entry rate of $15.47/hr

ATHLETE SERVICES COORDINATOR

The Olympic Regional Development Authority, responsible for managing the Lake Placid Legacy sites, is in search of a full-time year-round Athlete Services Coordinator to join our team. The successful candidate will work with the Director of Sport and Venue General Managers to support sport and activity-based programs as well as facilitate information sharing with ORDA’s Events, Communications, and Marketing teams.

RESPONSIBILITIES: Primary responsibilities include managing a comprehensive schedule for all sport and public usage including private rentals, media bookings and other venue use requests. This person will handle inquiries from domestic and international teams and athletes using the ORDA training facilities, prioritizing ORDA programs, USOPC requests and international events.

Other duties include scheduling and coordinating programs requests for bobsled, skeleton, luge, freestyle, ski jumping, biathlon, cross country, figure skating, ice hockey, speed skating, and curling. This individual will balance requests of the sport facilities with revenue producing recreational activities. They will also manage invoices and billing for the use of the sport facilities. Additional responsibilities include verifying adherence to contracts and agreements, including the USOPC agreement. They are also responsible for verifying the rules of participation at the venue and ensuring all teams/groups provide proper insurance, assumption of risk forms, and compliance with Safesport regulations.

MINIMUM QUALIFICATIONS: The ideal candidate will be detail oriented, task focused, and highly organized and have efficient computer skills in database management, Microsoft Office and scheduling software. Finance and HR skills are desired. Extensive knowledge of Olympic based sports preferred.

EVENTS LOGISTICS COORDINATOR

The Olympic Regional Development Authority is seeking an organized individual to be an Events Logistics Coordinator.  The Logistics Coordinator is an integral member of the events team. The successful candidate will report to a member of the Event Management staff and manage a mix of department needs along with event logistics for a variety of winter sporting events for the United States National Governing Bodies, International Federations and other sports governing bodies. Primary responsibilities include coordinating and implementing logistical needs such as registration, volunteers, transportation, food and beverage, supplies, flags and signage, awards, accreditation, sound needs, furniture and fixture needs, and other related logistical aspects of sporting events.

MINIMUM QUALIFICATIONS: To be a successful member of the Events Department, one must possess a positive attitude, good energy, and a willingness to learn. Work in the Event Department requires evening, weekend and holiday hours. Candidates must have a four-year college degree. Minimum one year of relevant event management experience or related customer service industry experience required. CUSTOMER SERVICE REPRESENTATIVES – ORDA STORE, LAKE PLACID

The Olympic Regional Development Authority is seeking customer service orientated individuals to work in the ORDA store located in beautiful downtown Lake Placid. Successful candidates will perform tasks including, but not limited to: greeting customers and ascertaining what each customer wants or needs, opening and closing cash registers, performing tasks such as counting money; separating charge slips, coupons, and vouchers; balancing cash drawers; making deposits; stocking the sales floor; as well as straightening and cleaning the store.

MINIMUM QUALIFICATIONS: Must be able to follow instructions and make decisions within basic policy and procedures. Candidates should be self-motivated, able to perform basic arithmetic functions, willing to greet and assist customers in a friendly and professional manner, practice good customer service, and be able to lift 20-30 lbs. Applicants should have strong communication skills and approachability. Previous retail experience is preferable, but not necessary. Knowledge of the Lake Placid Olympic venues is a plus.

PROJECT ADMINISTRATORS

Project Administrators generally provide operational and/or administrative support to the organization.  They are an integral part of the planning process for the responsible administration and/or maintenance and repairs of infrastructure with the overall goal of making venue administration or operations successful by improving efficiency and reliability.  In doing so, they promote a positive, productive, and safe work environment for staff based on the pillars of accountability and success. Ideal candidates will have a thorough understanding of business, construction/capital projects, recreational operations, and sport as well as a strong understanding of ORDA’s organizational relationships. Typical responsibilities may include:

  • Review and guide department planning for maintenance and repair projects. Work with departments to keep them on schedule and on or under budget
  • Work with departments in the identification of equipment and operational issues that require troubleshooting to allow the venue to operate in a safe and productive manner
  • Work with departments to determine needed staffing levels and ensure that staff is properly trained and up to date with maintenance and repair techniques
  • Ensure that employees are trained to perform assigned tasks and aware of the specific job hazard analysis for the assigned task
  • Work in conjunction with ORDA Risk Manager to ensure that operation departments are conducting and documenting proper and appropriate safety training
  • Assist department supervisors and managers in developing professional relationships with other ski areas/facilities, industry suppliers, and other key industry stakeholders.
  • Manage long term and cross-organizational projects
  • Attend meetings with the Board, various State departments and agencies, and key partners/stakeholders as assigned
  • Support venue management in their relationships with administrative departments
  • Strategically identify solutions and challenges that support ORDA’s mission

MINIMUM QUALIFICATIONS: Minimum of 5 years’ experience in ski area/sport venue operations or administration,  preferably two of which acting as a supervisor or manager.  Must have an established advanced knowledge of operations and/or administration of a resort-based facility.  Ability to read and interpret blue prints and schematics are a must.  Public sector experience preferred.

CONFERENCE CENTER ACCOUNT MANAGER

The Olympic Regional Development Authority is seeking a detail-oriented, motivated professional to be its Conference Center Account Manager.  Primary responsibilities include booking schedules that fill inventory efficiently that is both profitable and consistent with Conference Center operational capabilities.

RESPONSIBILITIES:

  • Manage day-to-day sales of year-round programs with the goal of maximizing a company’s experience in Lake Placid;
  • Actively solicit new business
  • Respond to inquiries regarding business and social functions.
  • Oversee and coordinate outside sales and marketing efforts undertaken by ROOST (Regional Office of Sustainable Tourism) in its efforts to bring conferences/conventions to the Lake Placid region.
  • Work in concert with our food and beverage provider to meet customer expectations of quality and value.
  • Work with Olympic Center in developing logistical and operational plans that include function setup, execution, and breakdown.
  • Work with other ORDA venues in developing event services programs at their venues.
  • Communicate with venues/departments regarding the availability of activities and function space
  • Work with clients to successfully prepare and execute their events
  • Responsible for program budget management, prepare estimates and agreements
  • Manage 3rd party access agreements
  • Manage all accounts payable and receivable, receive deposits and prepare final billing that pertains to the functions

MINIMUM QUALIFICATIONS: Bachelor’s Degree in hospitality/tourism or 4 years of work experience in sales or event marketing. The successful candidate will have excellent office skills and be proficient with computers and all Microsoft programs; be flexible, energetic, self-motivated, and well organized; and be proficient in setting, executing and achieving sales strategies and servicing goals  Must possess the ability to work effectively with all levels in the organizationKnowledge of the Olympic movement, winter sports and the Lake Placid Olympic Venues is strongly required.

CORPORATE DEVELOPMENT COORDINATOR

The Olympic Regional Development Authority is seeking a detail oriented professional to seek out and fulfill corporate contracts and responsibilities. The ideal candidate will oversee current and future ORDA sponsor commitments through fulfillment of sponsorship contracts. Regular responsibilities include ORDA venue signage, marketing activations at ORDA venues, ORDA collateral publications, ORDA websites, ORDA social media, ORDA programs, ORDA events, ORDA hospitality sponsorship services, and annual performance decks.  This person will work with both internal managers as well as acting as the primary liaison with corporate partners.

MINIMUM QUALIFICATIONS: Bachelor’s Degree in Sports Management, Business, Management, Marketing, Communications or a related field along with three (3) years relevant experience. Significant relevant experience may replace educational requirements on a year for year basis.   Candidate must be energetic, self-motivated, and well organized and proficient in setting, executing and achieving marketing strategy and servicing goals. Must possess the ability to work effectively with senior executives both internally and externally and work well with a diverse group of individuals. Knowledge of the Olympic movement, winter sports, and the Lake Placid sports venues is desired.  Candidate must be proficient with Microsoft Office Suite applications. Weekend work will be required.

IT TECHNICIAN

LAKE PLACID AREA VENUES

ORDA’s Information Technology Department is seeking motivated, detail-oriented individuals to join the team as helpdesk technicians for its Lake Placid area venues. The successful candidate will troubleshoot and solve problems for end-users on workstations and point of sale systems. Responsibilities include:

  • Monitoring ORDA’s helpdesk queue and responding to or escalating tickets in a timely fashion
  • Applying IT service management principles to Improve the ORDA helpdesk experience
  • Resolving network connectivity problems
  • Deploying IT hardware and services throughout the organization
  • Writing documentation and training staff
  • Low-voltage wiring
  • Server and network installation and maintenance
  • Troubleshooting and escalating problems to higher-level technicians
  • Implementation and testing of backup and recovery operations

This position requires a commitment to understanding the needs and priorities of both the IT Department and the organization as a whole and serves as a key support role in ensuring the efficiency of deploying IT services across the company. The successful candidate will be an excellent communicator, organized and a problem-solver.

MINIMUM QUALIFICATIONS: Relevant Associate’s degree with a minimum of one year of full-time experience. Relevant experience may replace educational requirements on a year for year basis. IT service management experience is preferred.
